Microsoft Office 365 offers a cloud-based version of Microsoft Communication and Collaboration services. This
means, all the most important and sensitive data can be in a high-risk situation. But the big advantage of
Microsoft Office 365 is that no matter the size of the organization, they will get enterprise-grade security, with
all security updates automated.
Here are some things that can be done to improve security:

  • Update the password policy to change it every 90 days.
  • Enable or Disable sharing of various apps from the admin portal.
  • Run reports to see what has been shared with whom, and even revoke sharing permissions.
  • The client’s computer used to access the Office 365 account can cause problems. Make sure that the
    client’s computer have the latest security patches before accessing any data.
  • Set up multi-factor authentication for the users to enter an access code when using an unknown IP
    address.

There is a single admin center, called the Microsoft 365 admin center, which is the common entry point for all
teams and roles managing Microsoft 365. The experience, information and controls are adjustable and customizable for each administrator and role.
Apart from this, there is a dedicated workspace that allows proper control. These specialized workspaces include SharePoint, Teams and Skype, Exchange, Security, Compliance, Device Management, and Azure Active Directory.

The 3 applications by Microsoft are used as List and Task Management applications.

  • List & Planner are used for team task management.

The advantage of List is that it is flexible & customizable.

Microsoft Planner is used when it comes for Project Management with multiple people because of its collaboration feature. On the other hand, if Project Management is carried out on a large scale like (resources, resource planning, capabilities, dependence between multiple tasks, then Microsoft Project is the best as it is a very advanced management tool.


Microsoft Planner comes free with almost all types of Microsoft licenses, while Microsoft Project requires a separate license.

SharePoint and OneDrive are 2 Microsoft 365 applications that are used for file storage. Although they both work on the same platform, they do have some commonalities and differences.

 

Commonalities:
Both OneDrive and SharePoint share the same look and functionality. Both the applications allow editing of documents directly online, alone, or collaboratively. Both have version history, as well as offline sync, external sharing, mobile access, and the ability to set document permissions. Both OneDrive and SharePoint are available in Microsoft Teams. Private conversations have OneDrive and team chat libraries have access to SharePoint.

 

 

Differences:
OneDrive: OneDrive is a personal storage which has 1 TB space assigned to each user (user level). If the user wants to store personal documents which are important & share a particular document with a specific user privately, then it is recommended to use OneDrive. Sharing documents and folders is not only complicated in terms of permissions, but it can also be confusing if a group of users working on their own versions share from their OneDrive. Apart from this, when files are stored on a user’s OneDrive, the organization will no longer have access to them and loose the data if that user leaves the company.

 

SharePoint: SharePoint is a shared storage which has up to 25 TB space assigned to a tenant (organization level). This application is useful for collaboration and document sharing. It allows an organization to define access parameters as per their requirements for a team or a user. For example, some users will have access to files as Editors, some users might have as View Only, and some might not have the permission to access them. An organization can create different types of SharePoint sites as per their requirements. Some of the types are mentioned below:
